Healthcare compliance checklist for clinics, hospitals and labs
Use this checklist to see what a healthcare business must set up, file and renew, and when. Which items apply depends on your facility, services and state.
At set-up
- Business structure and registration, PAN and bank account.
- Clinical establishment registration under your state's law.
- Trade licence and shop and establishment registration.
- Fire safety clearance and pollution board consent where needed.
- Biomedical waste authorisation.
- Drug licence, if you dispense or sell medicines.
- Imaging and lab approvals, such as AERB and PC-PNDT, if applicable.
- GST registration if you make taxable supplies.
Every month
- Payroll for doctors, nurses and staff.
- PF and ESI contributions, generally by the 15th.
- Professional tax where your state levies it.
- TDS deposit, generally by the 7th.
- GST returns, if registered.
- Bookkeeping and bank reconciliation, including insurance and card settlements.
Every quarter
- TDS returns (24Q and 26Q).
- Advance tax instalments for the practice or company.
Every year
- Income tax return and, for companies, ROC annual filings.
- Director KYC by 30 September, for companies and LLPs.
- Licence and registration renewals, each with its own date.
- Biomedical waste annual report, generally by 30 June.
- Review of staff registrations, such as medical council renewals.
When something changes
- New services or equipment, which may need new approvals.
- A new branch, which may need fresh registrations.
- Change of directors, address or ownership, which need filings.
